Many individuals within a real estate agency can support the agency executive officer in his or her duties. Based on their roles and responsibilities, the executive officer may grant them access to act as agency collaborators or authorized signatories.

To better support the agency executive officer in following up with brokers, access can be granted to an agency collaborator to allow one of the employees to access more specific content about the agency executive officer's role.                                               

In addition, the agency executive officer may designate one or more authorized signatories to sign, in his absence or unavailability, documents relating to the operations of the OACIQ Certification Department.

Who can obtain this?
  • Agency employee access (a code X is assigned to collaborators who do not hold a valid licence.
This access replaces the "agency management staff" access (formerly referred to as "director access") and "agency administrative staff" access.

  • Holders of a valid licence working within the agency
Due to the significant responsibilities associated with the role of an authorized signatory, an agency employee who does not meet the above criteria cannot act in this capacity (e.g., an assistant who does not hold an OACIQ licence).

Authorized signatories may sign the following OACIQ documents on behalf of the agency :
  • Issuance of a broker licence
  • Transfer, cessation of activities
  • Suspension lifting
  • Broker assignment
  • Licence modification

IMPORTANT

When a collaborator or authorized signatory leaves the agency, it is the agency executive officer’s responsibility to notify the OACIQ as soon as possible so that the person’s access to the agency’s privileged information can be withdrawn by completing the form identified above.

Application processing

The Certification Department will process any application as soon as possible. An acknowledgement of receipt will be sent to the agency executive officer and to the person concerned to confirm that the application has been processed.
